WATCH Weekly Report 01-03-18

** WATCH Weekly Report 01-03-18 **
------------------------------------------------------------
To the WATCH Board, Judges, and Alternates:

Welcome to the 2018 WATCH year!  Thank you all for agreeing to serve this year.  We could not do it without you.  My name is Kira Hogan, and I will be humbly serving as your Adjudication Coordinator again this year.

This section at the top is where I post important information.  Please take the time to read it.  I won’t have something here every week, and I try to keep it relatively short (despite what this long-winded message might suggest).  But if I do include something here, it is because it is something important I think everyone needs to know.

Below is the basic information you need to know for judging – essential for new judges, but it could not hurt for returning judges to read as a refresher.

There are basically three steps to the judging process:

1.      Search the weekly report for your name.  If you see your name listed for a show and have not yet made your reservation, do so and then send me an email with your reservation date.  (This last step is the most overlooked step in the process.  I need to track every judge who sees every show, and if I do not hear from you, I will send you pestering emails.)
2.      See your show.
3.     After seeing the show, submit your ballot (link is below and can also be accessed via the WATCH website).  The deadline for submitting a ballot is 30 days after the show closes, and no ballot will be accepted after this date.  However, we strongly recommend you get the ballot in within 10 days of viewing the show, while it is still fresh in your mind.  (2 to 3 days is even better.)  Once a ballot is submitted, our tabulator will send a confirmation of receipt to you, your rep and me.  Once I receive this receipt, I will remove your name from the report.   If you see your name still listed as missing a ballot but have already submitted, it probably means I did not receive the receipt, so let me know.

And that’s it in a nutshell.  Pretty easy, right?

I will send a report every Wednesday, and since we have started using MailChimp, delivery seems to be better.  However, if for some reason you do not receive a report one week, there is a blog site where I post each week’s report immediately after sending it out.  The link is listed below, and I recommend you bookmark this site so you can easily access it if you need to.

Please make sure you read this report every week.  Schedules change and shift across the year, so while the matrix can be used as a guideline, this report is the final word on scheduling.  So even if you don’t think you have an assignment coming up, read the report anyway just in case.

If you have any questions at any point, feel free to email me at adjudication@washingtontheater.org.

And now on with the show …

*****************************************
NOTE:  Balloting for a show closes 30 days after the show closes.  If you owe us a ballot, please get it in as soon as possible.

Friendly Reminders:

1.      DO NOT REPLY TO THIS EMAIL.  It’s very long, and the reply will include the entire thing, clogging my inbox.  Please send a new email to adjudication@washingtontheater.org
2.      DO email me your reservation dates.  Really, I want to know!
3.      DO search this entire report for your name, including in the “Closed” section to see if you owe any ballots.
4.      If you go see a show that you were not assigned to see, please let me know in case we need an alternate.  Try to keep the playbills for all shows you see at WATCH company theaters, at least until you see that it has closed with all ballots received.  Similarly, if you see a note that an alternate is needed and you are available to see that show, please let me know.
